Step 11: Keeping on Top of Data Collection All Year
Now that you’ve collected all this great information throughout the previous 10 steps, where do you put it all?
It’s important to keep all of the data organized throughout a program and throughout the year, so that reporting on your outcomes is as simple as possible.
Tracking Measures and Indicators Related to Learners
Resource: Learner Data Collection Spreadsheet
This spreadsheet can help you keep track of the indicators and measures related to learners in your programs, including referrals and the "Heard Back" measure. You can enter a list of participants, and work across the checklist for each of the indicators being measured. By filling in the check boxes with a simple Y or N the spreadsheet will tally up all the results for that course or program. You can copy this workbook into a new tab for each program or class, to keep all your data in one place.
Note: If you add rows to the sheet for more learners, make sure you double-check and update the formulas in the cells that calculate your totals.
Tracking Measures and Indicators Related to Community Support
Resource: Community Contribution Log Spreadsheet
At the end of the year, you will be asked to report on the value of in-kind contributions and the number of volunteer hours contributed to CALP-funded learning opportunities and services. This spreadsheet can be used throughout the year to record contributions and volunteer hours, so that when the time comes to complete your CALP Annual Report, you will have the numbers at your fingertips.
Note: If you add rows to the sheet for additional contributors, make sure you double-check and update the formulas in the cells that calculate your totals.
